When to record an exemption
Not every property can realistically reach EPC Band C. Common, legitimate reasons include:
- The cost cap has been exceeded (installer quotes exceed the £3,500 all-improvements cap)
- The property is a listed building or in a conservation area with restrictions
- The tenant has refused consent for the works
- A third party (freeholder, planning authority) has refused consent
- Wall insulation would negatively affect the property
If any of these apply, record it on the property's page rather than leaving the property looking simply "not done."
How to record one
On any property page, scroll to Exemption & compliance log. Choose the reason from the dropdown, add any supporting notes (e.g. "two installer quotes both exceeded the cost cap — see attached correspondence"), and save. This timestamps the record — every save re-stamps the date, so the log always reflects your most recent statement.
This is deliberately lightweight: a timestamped note, not a document vault. There's no file upload here — if you have supporting quotes or correspondence, keep those yourself and reference them in the notes.
The Due Diligence Summary
Every property has a printable "EPC Retrofit & Grant Due Diligence Summary" — a clean, single-page export covering the property's EPC record, any exemption on file, and its current grant matches. Find it via the Due diligence summary link on the property page.
Use your browser's print dialog (Ctrl/Cmd+P → Save as PDF) to export it. It's designed to be handed to a letting agent, accountant, mortgage lender, or local authority as a defensible record of what was checked and when — without needing a dedicated document management system.
